Frequently Asked Questions

Our Product

What exactly does Proquotely do?

Proquotely helps contractors build professional, accurate proposals fast, and send them in a format that actually wins jobs. You enter your scope, labor and materials, and Proquotely produces a clean, branded proposal PDF your clients can review and approve. No more Excel sheets or Word docs that look like they were formatted in 2003.

Who is this built for?

We built this program with the small and mid-sized contractor in mind. This really is a one size fits all program that can fit all firms that are serious about their work but don't have a dedicated estimating department. If you're doing your own bids and proposals, Proquotely was built specifically for you.

What trades does Proquotely work for?

Any trade that submits proposals or estimates. Contractors using Proquotely include, but not limited to, General Contractors, MEP contractors, concrete/steel contractors, and any specialty subcontractors. The platform adapts to your scope; you're not locked into a template that doesn't fit your trade.

What does the finished proposal actually look like?

Professional and clean. Branded with your company logo, broken down by scope section with itemized labor and materials, and formatted the way buyers expect to see it. You can see a sample here (https://www.proquotely.com/untitled/proposal-generation). That's what lands in your client's inbox.

What's the difference between Quick Quote and Pro Quote?

QuickQuote is for jobs you need to turn around fast: smaller scopes, simple line items, same-day (or hour) turn around. Pro Quote is for larger, more complex bids where you need line-item breakdowns, multiple scope sections, and a proposal that can hold up to a detailed review.

Can I add my own logo and branding?

Yes, every proposal is branded with your company logo and contact information.

Can I build and send proposals from my phone or tablet?

Yes. Proquotely is fully web-based and works on any device. Whether you're in the office or on the job site, you have full control.

How long does it actually take to build a proposal?

Most contractors build a complete proposal in under 5 minutes using Quick Quote. Pro Quote typically takes 15-20 minutes for a complex multi-scope job. This is a fraction of the time it takes to build one manually in Word or Excel.

Does Proquotely handle change orders?

Yes. You can create, track, and document change orders directly inside the platform, keeping everything tied to the original project. No more chasing approvals over text or email.

Can I track which proposals have been sent and viewed?

Yes. Proquotely tracks proposal status so you can always know what's been sent, what's been viewed, and what's still waiting on a decision.

Q: How does Proquotely help me?

Proquotely helps you win more profitable bids in less time by transforming your entire estimating process. Our tool was built specifically to solve the biggest challenges contractors face with quoting.

Here’s how:

You Save Time: Stop fighting with complex spreadsheets. Our streamlined workflow takes you from initial project setup to a client-ready proposal in minutes, not hours.

You Win More Bids: Impress your clients with professional, transparent, and accurate PDF quotes that include your company logo. Build the trust that gets you the job.

You Protect Your Profits: Get granular control over all your costs. Dial in your labor rates, material markups, overhead, and profit margin to ensure every bid is priced for success.

You Work Your Way: Use our comprehensive Detailed Estimator for complex projects or the fast Quick Quote tool when speed is what matters most.

Q: What’s the difference between a Detailed Estimate and a Quick Quote?

Proquotely offers two powerful ways to build a proposal. The one you choose depends on the complexity of the job and how much detail you need.

Use the Detailed Estimate when... ...you're working on a complex or high-value project that requires maximum precision. This mode features our step-by-step project setup, allows for granular, line-by-line control over all your costs (labor, materials, etc.), and gives you a comprehensive financial dashboard. It's the complete toolkit for building a thorough, transparent, and highly accurate bid.

Use the Quick Quote when... ...speed is your top priority. This mode is perfect for smaller jobs or for providing a high-level estimate on the spot. You can bypass the detailed setup and enter broad-stroke costs for labor and materials to generate a professional, client-ready quote in seconds. It’s for when you need a number, not a novel.

Q: Do I need to install any software?

No, you do not need to install anything. Proquotely is a modern, web-based application, which means you can access it from any computer (Mac or PC) with an internet connection simply by logging in through your web browser.

This means there are no downloads, no complicated installations, and you will always have access to the most up-to-date version of the tool automatically.

Q: Why is Proquotely better than competitors?

While many estimating tools exist, Proquotely was built with a specific focus on the needs of small to medium-sized contractors who find other software to be overly complicated and expensive. Here’s what makes us different:

Built with an Insider's Perspective: Proquotely was designed by a former contracts manager who has reviewed thousands of proposals. We know what makes a bid successful. Our tool is built to help you create the transparent, professional quotes that decision-makers trust and approve.

Focused on Simplicity and Speed: Many competitors are bloated with features you'll never use. We focus on doing one thing perfectly: estimating. Our intuitive design and guided setup mean you can create your first bid in minutes, not days.

Priced for Your Business: We believe powerful software shouldn't require an enterprise-level budget. Our pricing is straightforward and affordable, designed to provide a massive return on investment for everyone from a solo contractor to a growing team.

Flexible for Any Job: With both a comprehensive Detailed Estimator and a rapid Quick Quote tool, Proquotely adapts to your workflow, whether you're bidding on a major project or need a quick estimate on the job site.

Q: What does the "lifetime price lock" mean?

As an early supporter of Proquotely, we want to reward you for helping us grow. When you subscribe to a paid plan, the price you sign up with is the price you will pay for the lifetime of your account.

This means you will never be affected by future price increases for new customers. It's our way of saying thank you for being one of our foundational users.
